How to Inspect a Machine Remotely: A Buyer's Live Video-Call Checklist

You cannot always fly to China to inspect a machine in person. A live video call is the next best thing — but only if you know what to ask for. Here is the complete checklist for turning a video walkaround into real due diligence: what to prepare, what to look at, what operations to request, and how to spot the common tricks that sellers use to hide problems.
Why a live call beats a recorded video
A recorded video shows you what the seller chose to record. A live video call means you control the camera: you can ask the operator to zoom in on the data plate, point at the hour meter, start the engine from cold, pan slowly across the undercarriage, or hold a phone light into a dark engine compartment. You can ask questions in real time and watch how the operator responds. A seller who is confident in the machine will happily show you everything. A seller who hesitates, deflects, or keeps the camera moving fast is hiding something.
Remote inspection is not a substitute for an in-person or third-party inspection, but it is a powerful tool for filtering out bad machines before you invest in a plane ticket or an inspector. Before the call: preparation checklist
A productive video inspection starts before the call. Send the seller these requests at least 24 hours in advance:
- Machine documents: Ask the seller to have the data plate (VIN plate), hour meter, service records, and any recent repair invoices ready to show on camera.
- Cold engine: Ask the seller not to start the engine before the call. A cold start reveals problems (smoke, hard starting, unusual noises) that a pre-warmed engine hides. This is the single most important request.
- Clean machine: Ask the seller to wash the machine before the call so you can see the frame, cylinders, and undercarriage clearly. A machine that is deliberately kept dirty may be hiding leaks or damage.

The video inspection walkaround
Structure the call in a logical order so you do not miss anything. Here is the sequence to follow:
1. Exterior and structure
Start with a slow 360-degree walkaround, pausing at each corner. Look for frame damage (cracks, welds, bends in the main frame, boom, arm, or bucket — repainted welds can indicate a repaired crack), body panel damage (dents, missing panels, mismatched paint), counterweight damage, and track/tire condition. For tracked machines, check track pad wear and sagging; for wheeled machines, check tread depth, sidewall damage, and whether all tires match. Ask the operator to zoom in on any suspicious areas.
2. Undercarriage
The undercarriage is the most expensive wear component on an excavator — a replacement on a 20-ton machine can cost USD 8,000–15,000. Ask the operator to show the track frame from the side, zoom in on track pins and bushings (check for wear or ovality), show bottom rollers (look for flat spots, seized rollers, leaking seals), and show the sprocket teeth (worn or hooked teeth indicate high hours). If the machine is on blocks, ask to see the underside of the track frame and center joint.
3. Hydraulic system
Hydraulic failures are the most common and expensive repairs. Check each cylinder rod (boom, arm, bucket) for scoring, pitting, chrome damage, or oil residue (leaking seal). Ask the operator to cycle each cylinder fully so you can see the entire rod. Check all hoses for cracks, bulges, seepage, or chafing. Ask to see the main hydraulic pump — look for leaks and listen for whining. Check the control valve block for wetness. If possible, ask the seller to show a small oil sample on a white surface — milky oil indicates water contamination, dark or burnt oil indicates overheating.
4. Engine
This is where the cold-start request pays off. Ask the operator to start the engine cold and watch for: hard starting, smoke (blue = burning oil, black = over-fueling, white = coolant in combustion or unburned fuel — a small amount of white smoke on cold start in cool weather can be normal, but persistent smoke is a red flag). Let it idle 2–3 minutes, listening for knocking or tapping. Then raise to high idle and check for smooth acceleration and smoke under load. Ask to see the engine compartment — turbocharger (oil leaks, shaft play), exhaust manifold (cracks, soot leaks), radiator (damage, coolant leaks), and alternator/belts. Check the coolant for oil (head gasket failure) and the engine oil dipstick for milky oil (coolant contamination).
5. Cab and controls
Zoom in on the hour meter and record the reading — compare it with the machine's age and condition (a 10-year-old machine with 2,000 hours is suspicious). Check the instrument panel for warning lights or error codes. Test the joysticks, pedals, and switches. Turn on the AC and heater to confirm they work (AC failure is common and expensive in hot climates). Check for cracked or missing glass, and inspect the seat and interior — a well-maintained cab often correlates with a well-maintained machine.
6. Operational tests
The operational test is the most revealing part. Ask the operator to perform these specific actions:
- Boom raise / hold: Raise to full height, release, hold 30 seconds. The boom should not drift down more than a few centimeters.
- Arm / bucket cycle: Cycle fully in and out several times — watch for jerking, slow movement, or unusual noises.
- Swing test: Swing fully left and right — listen for grinding from the swing bearing or motor, check for excessive play.
- Travel test: Drive forward, backward, and pivot turn — watch for uneven track movement (one track faster = worn travel motor), listen for final drive noises.
- Load test (if possible): Apply load with a full bucket or by pushing against a solid object — black smoke, stalling, or hydraulic whining indicates problems.
- Blade / stabilizer test (if equipped): Operate fully in and out, check for drift and smooth operation.
